Pack Smart Become Phone Smart With the Help of HBT!

The Problem

Pack Smart Ltd is a dynamic company based in Kenilworth, Warwickshire providing fulfilment solutions to businesses across the UK. The phone system they had had installed was only 4 years old, but had failed to live up to the expectations promised by the supplier. They were unable to forward or even transfer calls, so during busy periods when the team were all busy in the warehouse, calls to the office were often missed and potential business opportunities lost. When Pack Smart approached the Telecoms supplier to resolve issues and improve the service, numerous barriers were put in place, including extra costs.

After putting up with an inadequate phone system for 4 years, the business had reached the end of its tether and decided to shop around for an alternative Telecoms supplier, Director Seánna Holland had heard good things about HBT Communications and invited them to tender for the project, along with other communication providers. HBT was successful with its proposal and Seánna explains how they reached the decision, “From the minute we contacted HBT we were impressed with their professionalism and how approachable they were. The sales guy we dealt with, Chris Whelan, couldn’t have been more helpful and he made sure he fully understood our requirements. He was shocked by the level of service we had been receiving and resolved to deliver a solution that would be perfect for the needs of our business, both today and into the future.”

HBT's Solution

HBT spent time understanding how the business operated on a day to day basis, assessing all the functionality the phone system needed to deliver. With staff located in the office, in the warehouse and remotely, the priority was to be enable the team to handle calls efficiently and smoothly wherever they were working. HBT advised installing a Panasonic NS700 System; a compact hybrid communication platform designed to enhance communications and productivity for small- to medium-sized businesses.

Once the proposal was agreed, Pack Smart took the decision to end its current phone early so the benefits of the new system could be enjoyed as soon as possible. Seánna Holland continues, “The smooth sales process continued through to the installation. We were up and running quickly and with minimum disruption to the business. Our numbers were ported across without any issues and when the engineer, Irfan was on-site, we hardly noticed he was there! Before leaving, Irfan spent time with us to ensure we were trained on the new equipment and was happy to answer any questions we had. We did encounter a couple of small glitches in the early days, but these were resolved promptly.”

In Summary

HBT prides itself on taking the time to listen and understand how your business operates and how it needs to communicate with both staff and customers; we probe and ask questions to ensure nothing is over-looked. Pack Smart’s old phone system was debilitating and the business case for upgrading, even taking into account the cost to break contract, made it an easy decision for the Directors to make.

Alongside the extra functionality, the new system also gives Packsmart free UK national and local calls, including to UK mobiles.

“From the minute we contacted HBT, we have been impressed with their professional attitude and the level of service they have committed to and delivered. After being let down by our previous supplier it has been a breath of fresh air to deal with a company who delivers what they promise. I would have no hesitation in recommending HBT Communications”

Logistics Company and HBT Working Together for the Long Haul

The Problem

Neely TransportNeely Transport was established in 1993 as a one-man band and has since grown into a thriving logistics business with customers across the UK. As part of its expansion programme in 2005, Neely Transport moved to bigger premises and needed to source a reliable Telecoms company to design and install a new telephone system. HBT Communications was recommended to them.

HBT's Solution

Peter Richardson from HBT met with Clive Neely, Managing Director of Neely Transport, to discuss the business’ requirements. A brand-new installation provides an opportunity to work from a blank canvas and design a phone system to work efficiently today and into the future, with the capability to grow and expand as the business grows and technology develops. Since 2005, HBT has supported Neely Transport through 3 upgrades; most recently upgrading the internet connectivity to enable the phone system to move from a traditional ASDL line to IP. An IP phone system provides greater flexibility and the improvements of the internet speed and reliability has also meant that the company could move to a cloud based software system, opening-up more job opportunities within the Pallet Network of which Neely Transport are members. The Pallet Network’s software enables the business to co-ordinate jobs and source pick-ups for drivers out on the road returning from drop-offs with an empty vehicle. This has improved the profitability of the business.

Site security is a priority for any logistics company and Neely Transport is now able to use the internet to run a cloud based package to control its CCTV which is then monitored by a security firm off-site. It is vital that this runs 24 hours a day, 7 days a week to adhere to legal and customer requirements for the safety and security of goods held on site.

In Summary

HBT works hard to get to know its customers and prides itself on developing long-standing relationships and building customer loyalty. HBT achieves this by; taking the time to get to know and understand how the logistics sector operates, delivering a high level of customer service, and consistently providing expert IT and Telecoms support.

“Our telephone and internet connections are as important to us as our vehicles out on the road and it is imperative that we have a system that is robust and reliable 24 hours a day, 7 days a week. I would have no hesitation in recommending HBT; they are responsive to our needs and have always delivered what they have promised”

HBT Communications Helps Logistics Firm Drive Down Costs and Improve Reliability

The Problem

Orchid Transport is a logistics company established in 1988 with a Head Office trading out of Honiley in Warwickshire. The business specialises in full load container haulage from Southampton and Felixstowe to the Midlands, and are developing services from London Gateway and Tilbury in conjunction with its Felixstowe operation. In addition to port transport services, the company has a fleet of localised vehicles to support customers who use the rail network into the West Midlands and Leeds/Wakefield rail centres.

The business has been successful with significant growth since its inception in 1988. As with any business enjoying growth, there are challenges to be faced which includes IT and Telecoms requirements. For Orchid Transport the particular challenges it faced was a phone line struggling to cope with extended capacity and the overall reliability of the phone system.

In 2002 HBT was approached to help make improvements.

HBT's Solution

Chris Wood met with the team at Orchid Transport to find out more about the business and how it operated and to discuss the issues they were experiencing with the current phone system.  He was then able to design a tailor-made telecoms solution to support the business into the future and improve reliability.

As a growing business, cost was also a crucial factor and this was taken into consideration by Chris when designing the phone system. HBT is an independently owned business, which means we are not tied to suppliers and our solutions are driven by our clients’ needs and not by specific products and services.

Orchid Transport has now been a client of HBT’s for 15 years and its phone system has been kept up to date with the latest technologies to help improve efficiency and streamline costs.

Recently, Orchid Transport has moved its phone system to an IP platform and is enjoying the benefits of improved functionality, including enabling multiple locations for call distribution and the flexibility of controlling calls should anything happen at Head Office. The new system is also helping the business move operations forward for improved customer experience. In addition to all the added functionality, the upgrade has been cost neutral and will result in ongoing savings of £1,200 per annum.

In Summary

HBT Communications has been providing Telecoms support to Orchid Transport since 2002 and has been on hand to support them over the years with telecoms upgrade as the business needs have changed; never once losing sight of the initial brief of reliability, flexibility to grow and cost.

HBT Communications specialises in delivering cost effective and robust solutions to logistic companies across Coventry, Birmingham and the Midlands.

“Chris Wood and the team at HBT Communications have provided our communications for many years and fully understand how pivotal the phones are especially to us for survival.

They continue to support us and understand our goals and the requirements of both our business and our industry. We look forward to continuing our relationship for many years to come”

Andy Monk, General Manager at Orchid Transport.
